Office and Communications Manager JOB DESCRIPTION The Office and Communications Manager is often the face of CUMC to the public on the phone or when inquiring about church programs and facility reservations. A friendly, helpful and welcoming demeanor is a must. The incumbent performs office management, clerical and facility-related administrative duties as a member of the church staff. S/He also works with a cadre of church volunteers on a number of projects throughout the year. The incumbent is responsible for publishing graphics, photos and written content on weekly bulletins for worship services, newsletters for mailing as well as posting content to the church web site, Facebook page and other social media outlets. When fully operative with the cadence of the office management aspects of the job, the incumbent will also create and layout written content for newsletters, church bulletins, weekly worship schedules and other documents as directed. The incumbent reports to the pastor and often deals with very confidential and sensitive personal issues of church members. Discretion and professionalism are a must. DUTIES AND RESPONSIBILITIES Publications and Communications • Maintain the master calendar for the church and church staff • Assist with worship leader scheduling for all services and events • Be a thought leader in the use of latest trends in electronic publishing to keep published materials fresh and exciting. • Coordinate with church staff to get lists of music, scripture references, and other details required to produce weekly worship bulletin and announcements. • Work with the staff and church members to produce all church publications. The incumbent is responsible for meeting publication deadlines. • Ensure that printed mailings are prepared and mailed on schedule • Create and maintain forms and data collection tools • Publish content to the church web site, Facebook page and social media. Remove content when it is no longer required. Facilities • Maintain the facilities calendar for all church and outside group events • Serve as primary contact for all event rental and wedding inquiries • Administer all event-related paper such as contracts and certificates of insurance • Coordinate service and repair vendors and contractors, as required • Track insurance policy documents and renewals for the facility, workers comp and other policies • Order janitorial supplies and direct janitor • Monitor facilities and advise Trustees of any issues General Administrative Support • Provide administrative support to the pastor and the church staff • Provide direction and assign tasks to office volunteers • Perform general office duties such as supply ordering, copying, typing, filing, keeping inventory, faxing, etc. QUALIFICATIONS • Ability to work in a faith-based setting • Positive attitude • Friendly with a passion for excellent customer service • Detail oriented with excellent organizational and planning skills • Able to multi-task multiple projects and priorities • Professional appearance • Experienced and efficient user of electronic communications and social media sites. SKILLS • Superior office and administrative skills. • A team player who is accountable for completing their daily tasks • Excellent writing and graphic layout skills are required • Ability to organize and run a busy office • Be proficient in Microsoft Word, PowerPoint and Outlook as well as Google Calendar • Be willing to learn database computer program (PowerChurch) • A true multi-tasker who can handle many urgent tasks while answering the phone and making the caller think their call is the highpoint of your day. EDUCATION AND EXPERIENCE • High school graduate • Minimum 2 years experience in office management, communications, or administration WORKING CONDITIONS • At the present time this position is six hours per day, Monday through Friday • Extended period of sitting and working with a computer and telephone • Lifting up to 30 pounds • Working in a faith-based organization.
