Lake Merritt UMC of Oakland is seeking a Rental and Events Coordinator


Primary Responsibility: An extension of the open and welcoming Lake Merritt UMC community, this position is responsible for coordinating the use of the church facilities for community and rental purposes through sound administrative and fiscal practices. Job Duties: • Oversees and manages rentals and use of the church building for community groups, church groups, and individuals • Responds to phone calls, voice mail messages, emails regarding building use • Consults with prospective renters, including but not limited to confirming dates, rental rates, policies, and leading facility tours • Maintains ongoing communication and coordination with building users • Maintain Master Calendar for LMUMC • Maintains accessible files for all renters • Administers accounts receivable for all building use • Ensures adherence to rental agreements and administers security deposit refund process • Develops rental policies, procedures and fees - together with the Board of Trustees • Updates rental documents as needed, including rental agreements, non-profit status forms, and certificates of insurance • Prepare reports as needed for Trustees, Annual Conference, and government agencies • Supervise event staff, as follows: o Hire, train, and supervise event staff as/when needed o Schedule event staff o Hire, train, and supervise event staff o Process event staff/sexton time sheets o Host events as needed The Event Coordinator reports to the Staff Parish Relations Committee. Minimum Qualifications & Desired Experience: • Proven interpersonal, verbal and written communication skills • Strong computer skills, including standard office software • Proven organizational skills, managing one time and ongoing projects independently, while coordinating with others • Capacity to negotiate and coordinate with others upon introduction and in maintaining ongoing relationships • Experience in managing rental agreements and facilities use • Experience in event coordination • Experience in managing financial processes related to rentals administration • Experience in supervision and training staff • Flexibility in work schedule to accommodate event supervision as needed • Some college preferred Commitment: 20 hours/week Start Date: ASAP Compensation: This is a part time, hourly paid position. Compensation is competitive and commensurate with experience.
